Our current work flow is to generate a statement (which puts a copy in onpatient), allow 10 days for patients to contact us with questions, and then run the credit card on file. Sometimes patients do not login to see their statement UNTIL we run the payment. Unfortunately, once the balance has been paid, the statement vanishes, leaving no record that we DID notify them of their balance before running the payment. It also means there is no record of the patient balance in onpatient, so if patients want to seek reimbursement from their HSA for something paid on their CC, they cannot access the statement.
The work around is that we can manually save each statement as a PDF and then put it in onpatient, but this is really cumbersome. It would be much better if there was an archive of previously sent statements that they could access.
